Managed close
Closed by the 10th.
Or that month is free.
We run your monthly close in VisiBooks — reconciled, locked, and delivered by the 10th of the following month. Agents do the work. A human reviews everything that matters. The date is guaranteed in writing.
Why this exists
Built by an owner who went through 15 bookkeeping services.
None of them closed the month on time. Year-end was a reconstruction project, every year. VisiBooks was built to fix that — and the managed service runs on it the same way we run our own companies: a rental operation, two property entities, and a holding company, closed every month, in this product.
You are not hiring the sixteenth bookkeeper. You are hiring a system with a human at the controls and a date with a penalty.
WHAT "CLOSED" MEANS — IN WRITING
Your books stay yours: connect Claude, ChatGPT, or any MCP agent and ask them anything, anytime. We keep the books clean — which is what makes your AI's answers worth trusting.
Pricing
Priced by activity, not headcount.
Posted transactions are the honest cost driver of a close — not your team size, not your revenue. One price covers a typical shop.
Month-to-month. No setup fee. Cancel whenever the books stop being worth it.
A TRANSACTION IS A BANK OR CARD LINE, A BILL, AN INVOICE, OR A PAYROLL ENTRY — COUNTED ACROSS EVERY ENTITY YOU RUN.
A messy month is still $2,000 — recoding what came in wrong is the job, not an extra. We quote separately only for inventory, more than one currency, anything past the caps above, or books that need cleaning every month rather than once.
BOOKS A MESS? CATCH-UP & CLEANUP
A separate one-time project, scoped and priced at the diagnostic once we have seen how far back it goes. The close guarantee starts when the books are current.
PREFER TO RUN IT YOURSELF? SOFTWARE FROM $79 / MO — MANAGED CLIENTS CAN DOWNGRADE ANYTIME.
How it works
Diagnostic to guaranteed date, in four steps.
01 — DIAGNOSTIC
We review your actual books and feeds. You get a written scope: your volume, catch-up needed (if any), and your price confirmed. No commitment.
02 — CATCH-UP
If you are behind, we reconstruct first — a separate one-time project, quoted up front from the diagnostic. Nothing is guaranteed until the books are current.
03 — THE MONTHLY RHYTHM
Agents categorize, match, and reconcile continuously. A human reviews every consequential entry before it posts. You answer open questions in minutes, not meetings.
04 — THE 10TH
Books reconciled, period locked, owner pack in your inbox. Every month. If we miss it, that month is free.
Questions owners ask
The fine print, out loud.
What does "closed by the 10th" include?
Banks and cards reconciled, payroll posted, AP and AR current, the period locked in VisiBooks, and an owner report pack delivered — by the 10th of the following month. Agents do the mechanical work; a human reviews every consequential entry before it posts.
What happens if you miss the date?
That month of service is free. The guarantee is written into the engagement, not a marketing line.
What do you need from me for the guarantee to hold?
Two things: bank and card feeds stay connected, and you answer open questions within two business days. If a delay is on your side, the date shifts day-for-day — it never silently voids the guarantee.
My books are months behind. Can you still take me?
Yes — that is most of who we work with. Catch-up is a separate one-time project, scoped and priced at the diagnostic once we have seen how far back it goes and what state it is in. The closed-by-the-10th guarantee starts when the books are current: we will not promise a date on opening balances nobody has reconciled, because that date would not be worth anything.
I run several companies. How does that price?
Transactions are counted across every entity against the same 3,500 a month, and each additional entity adds a flat $150/mo for its separate close — its own reconciliations, period lock, and owner pack. A four-entity operation with 2,500 combined transactions is $2,000 + 3 × $150 = $2,450/mo, not a percentage surcharge per company.
Do you pay my bills or chase my invoices?
Not in the core service. We keep AP and AR recorded, reconciled, and current in the books — your owner pack includes exactly what is due and who owes you. Executing payments and collecting from customers stays with you. Bill-pay as an approved-by-you add-on is on the roadmap; collections calls are not.
Can you run payroll too?
Payroll accounting is already in the close — every pay run posted and reconciled, whatever provider you use. Running payroll for you is an optional add-on at $150/mo plus $12 per employee: we own the pay calendar, prepare and approve runs with you, and make sure filings land in the books. Payroll runs through VisiBooks payroll or a supported provider, and tax filings stay with the provider. Paydays are never subject to experiments.
Can I still connect my own AI to the books?
Yes — that is the point of running the close in VisiBooks instead of a firm’s private file. Connect Claude, ChatGPT, or any MCP agent with scoped read access and ask your books anything, anytime: spend by category, job margin, who owes you. No emailing a bookkeeper and waiting two days. And because we close by the 10th, your AI answers from reconciled, locked books — not confident guesses over a mess.
Can I take the books back and run them myself?
Anytime. Managed runs in the same ledger you would use on our software plans, so leaving Managed means dropping to $79/mo and taking over the close checklist — not migrating systems or losing your history. Your books are never hostage.
Who actually does the work?
VisiBooks agents do the mechanical accounting — categorization, matching, reconciliation prep — inside a real double-entry ledger with a full audit trail. A human reviews and approves every consequential entry, and runs the close. Nothing auto-posts unattended.
