Privacy Policy

VisiBooks ("we", "us", "our") operates the VisiBooks application at app.visibooks.app and the marketing site at visibooks.app. This policy describes how we collect, use, and protect your information.
1. Information We Collect
Account information
When you sign up we collect your email address and, if you subscribe to a paid plan, billing details processed through Stripe. We do not store credit card numbers.
Accounting data
You may create a chart of accounts, journal entries, and other financial records. This data is stored in our database and is accessible only to you and any team members you explicitly invite.
Bank feed data
If you connect a bank account via Stripe Financial Connections, we receive transaction data (dates, amounts, descriptions, and account identifiers) from your linked accounts. This data is used solely to import transactions into your ledger and is stored in the United States.
Usage data
We collect standard server logs (IP address, browser type, pages visited) to operate and improve the service.
2. How We Use Your Data
- To provide and maintain the VisiBooks service
- To import and reconcile bank transactions against your ledger
- To process payments and manage subscriptions
- To send transactional emails (account verification, password resets, billing receipts)
- To detect and prevent abuse
3. Data Sharing
We do not sell your data. We share data only with the following service providers, solely to operate the service:
- Stripe — payment processing and bank account connections
- AWS SES — transactional email delivery
- Cloudflare — hosting and content delivery
- Cal.com — scheduling diagnostic reviews (the name, email, and answers you enter when booking)
- Microsoft Advertising — measuring whether our ads lead to visits and bookings on visibooks.app (see Cookies below)
We do not share bank feed data or accounting data with any third parties beyond what is necessary to operate the service.
4. Data Storage & Security
All data is stored in the United States. We use encryption in transit (TLS) and at rest. Access to production systems is restricted to authorized personnel.
5. Data Retention
We retain your data for as long as your account is active. If you delete your account, we remove your data within 30 days, except where retention is required by law.
6. Your Rights
You may export, correct, or delete your data at any time from your account settings. To request full account deletion, email hello@visibooks.app.
7. Cookies
The VisiBooks application uses a session cookie to keep you logged in and a preference cookie for theme settings. It does not use third-party tracking cookies.
The marketing site at visibooks.app loads the Microsoft Advertising Universal Event Tracking (UET) tag. It sets cookies that record which pages you visit and whether you arrived from one of our ads, so we can tell which ads lead to a booked diagnostic review or a new account. Microsoft processes this data under the Microsoft Privacy Statement.
Inside the VisiBooks application, the tag loads only on the sign-up page, and only if you reached it from one of our ads (your sign-up link carries Microsoft's click ID). It records that an account was created, and nothing else. It is not loaded anywhere else in the application, and it never receives your accounting or bank feed data.
If you arrive from one of our ads, your browser remembers that ad (the campaign, the search keyword, and Microsoft's click ID) for 30 days, and it is attached to any diagnostic review you book, so we can tell Microsoft which ads led to clients.
If your browser sends a Global Privacy Control signal, we do not load the tag or remember the ad at all. You can also block it with any standard ad or tracker blocker, or opt out of personalized Microsoft ads in your Microsoft account settings.
8. Changes
We may update this policy from time to time. We will notify you of material changes by email or by posting a notice on the site.
